Office Policies
Thank you for taking the time to review the following office policies. These policies are designed to create a safe, respectful, and positive experience for both clients and therapist while allowing me to provide the highest level of care.
To ensure a smooth and seamless experience, payment in full is required at the time of booking for your first appointment. This applies to appointments scheduled online, by phone, or directly with me.
Prepayment reserves your session time and allows me to prepare a personalized experience designed specifically for you.
After your first appointment, future appointments may be scheduled according to standard booking procedures.
All appointments scheduled online must be paid in full at the time of booking.
If you are scheduling an appointment for someone else, please create or use the client’s individual profile and enter their name, phone number, and email address.
Each client must have their own profile and complete their own intake forms to ensure accurate records, protect personal information, and maintain client confidentiality.
Clients are responsible for ensuring that appointments are scheduled under the correct individual profile and that all information provided is accurate.
Please do not schedule appointments using another person’s profile, as this may result in confidential client information being attached to the wrong account.
To ensure your safety and provide the most effective and personalized massage therapy experience, clients are responsible for keeping their intake information current and accurate.
Prior to appointments, clients may receive a reminder to review and update their intake form. Please update your information whenever there are changes to your health history and notify me of any new or changing information before receiving massage therapy.
This includes, but is not limited to, new medical conditions, diagnoses, injuries, surgeries or procedures, medications (prescription and over-the-counter), allergies, pregnancy status, physical limitations, and changes in symptoms, pain patterns, or areas of concern.
Clients are responsible for communicating any changes to their health, medications, or circumstances that may affect their massage session.
Providing complete and accurate information allows me to make appropriate adjustments to your session and helps ensure your care remains safe and appropriate.
I understand that life happens and schedules can change. Please provide at least 48 hours’ notice if you need to cancel or reschedule your appointment.
As a courtesy, you may be eligible for one opportunity to reschedule an appointment canceled with less than 48 hours’ notice without an additional fee. After that courtesy has been used, cancellations made with less than 48 hours’ notice may be charged the full service fee.
If your session was prepaid online, your payment will be transferred to your courtesy rescheduled appointment. No refunds will be issued.
Appointments booked using a gift certificate or massage package may also be eligible for one courtesy reschedule. After that courtesy has been used, future late cancellations will be considered redeemed, and the session will be deducted from the gift certificate or massage package.
At Balanced Soul Massage, your comfort and satisfaction are important to me. If you have any concerns during your session, please let me know so I can make adjustments whenever possible.
Refund requests for appointments canceled with at least 48 hours' notice will be honored, unless otherwise stated by applicable office policies. Approved refunds will be issued in the original form of payment.
Appointments canceled or rescheduled with less than 48 hours' notice, as well as last-minute changes to the scheduled service or session length, are subject to the Cancellation Policy. Refunds in these circumstances are issued at my discretion.
If a session is ended early by either the client or therapist after it has begun, refunds are not guaranteed.
Gift certificates and massage packages are non-refundable and remain subject to the Cancellation and No-Show Policies.
If massage cannot be safely performed due to a medical contraindication, a refund will be issued upon request. When appropriate, written clearance from the physician overseeing your care for the medical condition may be required before massage therapy can continue. Appointments postponed for medical contraindications may be rescheduled without penalty once appropriate medical clearance has been obtained.
I understand that life doesn’t always go as planned, and occasionally an appointment may be missed. If you miss your appointment without prior notice, it will be considered a no-show.
As a one-time courtesy, your first no-show may be eligible for a courtesy reschedule without an additional fee. After that courtesy has been used, any future no-shows may be charged the full session fee.
If your appointment was prepaid, your payment will be transferred to your courtesy rescheduled appointment. No refunds will be issued.
Appointments booked using a gift certificate or massage package may also be eligible for one courtesy reschedule. After that courtesy has been used, any future no-show appointments will be considered redeemed, and the session will be deducted from the gift certificate or massage package.
Courtesy rescheduling is offered at my discretion and may not apply in all circumstances. Exceptions may be considered for emergencies or extenuating circumstances.
Arriving on time ensures you have the opportunity to enjoy your full session experience. If you arrive late, your appointment may need to be shortened to accommodate clients scheduled after you.
Depending on your arrival time, I will determine whether there is enough time remaining to begin or complete your session safely and effectively.
Arrivals more than 15 minutes after your scheduled appointment time may be considered a no-show and may be subject to the No-Show Policy. Shorter appointments may also be subject to the No-Show Policy or a courtesy reschedule at my discretion when a late arrival does not allow adequate time to complete the session.
Regardless of the adjusted session length, the full service fee will apply.
Out of respect for your reserved appointment time and other clients, please plan to arrive on time so you can receive the full benefit of your session.
Gift certificates and massage packages are non-transferable, non-refundable, and do not expire.
Please bring your gift certificate or package information to your appointment for redemption. If the required information is not available at the time of service, the full session fee may apply.
If a gift certificate or massage package is used for a courtesy reschedule, it will remain valid for that rescheduled appointment only. After that courtesy reschedule has been used, any future missed appointments will be considered redeemed.
A $35 returned check fee will be charged for any checks returned by the bank.
This fee along with the original amount owed to Balanced Soul Massage must be paid in full before any future appointments may be scheduled.
Future appointments will not be permitted until the returned check fee and original balance have been paid in full.
Both the client and therapist have the right to end the therapeutic relationship at any time.
I reserve the right to decline or discontinue services when necessary to maintain a safe, comfortable, and professional environment for both the client and myself.
Clients who are habitually late, frequently cancel with insufficient notice, repeatedly miss appointments, fail to respect office policies, or engage in behavior that is inappropriate, disrespectful, disruptive, or violates professional boundaries may have their services discontinued.
Termination of the therapeutic relationship may occur when continuing services is no longer appropriate or beneficial for either party.
This decision is made with respect for my schedule, my professional boundaries, and the experience of all clients.
Office policies and procedures may be updated from time to time. The policies published on the Balanced Soul Massage website represent the current and most up-to-date version of all office policies.
To ensure you always have access to the most current information, please use the QR code provided in the office or the policy link included in email communications to review the current policies online.
Previous versions of policies, including those included in older emails, printed materials, or other communications, may become outdated as policies are updated.
If you are unable to access the online policies, a printed copy is available upon request.
